Customize Borrower Communications with USA Funds Debt Manager

USA Funds® Debt Manager® provides campus financial-aid professionals with a powerful tool for communicating with their student-loan borrowers to promote successful loan repayment and prevent loan defaults. Using USA Funds Debt Manager, financial-aid administrators can customize letters and e-mail messages, and also make telephone calls, to their borrowers.

Developing or updating letters and e-mail messages to borrowers is a simple and straightforward process in USA Funds Debt Manager, if you follow these steps:

  1. Before launching USA Funds Debt Manager, create the text for the communication in a word-processing program such as Microsoft Word. Be sure to save the document in Rich Text Format. For easiest access to the document, save it to your Desktop.
    Save as Rich Text screen
  2. Launch USA Funds Debt Manager.
  3. Select the Communication Strategy in USA Funds Debt Manager that you want to use to target your letter or e-mail, or create a new Communication Strategy.
  4. In the section called Communication Delivery Type, select the Browse button next to Letter Text or E-mail Text.

    Maintain Communications screen 1
  5. Select the Rich Text File document that you saved with the text of the letter or e-mail message. Click the Open button on the Choose File window when you find the correct document. The file name of the document will be displayed in the Letter Text or E-mail Text field of USA Funds Debt Manager.

    Maintain Communications Strategy screen 2
  6. Select Save in USA Funds Debt Manager. Note that the file name and path of the new text no longer appears in the letter text or e-mail text fields of USA Funds Debt Manager.
  7. You will receive a message in the bottom left corner of the screen indicating that your Communication Strategy was saved.
  8. You can select View Letter Text or E-mail Text to confirm that the text was saved to this strategy.

Please remember that, unless you change it, the text that you saved will be used again the next time the same Communication Strategy runs.
